What is the data subject dossier?

The Data Subject Dossier is the powerful feature of Trust Guardian that provides a complete and organized view of all privacy events collected for each single data subject. This dossier contains a detailed picture of the user’s privacy history, tracking every consent, withdrawal, acknowledgment of privacy notices, and any other relevant event. Each data subject is identified by a unique UID in Trust Guardian, which allows linking and managing multiple identification keys, such as email, phone numbers, CRM IDs, tax codes, and other information.

The core elements of the Data Subject Dossier are:

  • Consent Register: An up-to-date snapshot of all consents and authorizations for processing that each data subject has provided.
  • Acknowledgment of Privacy Notices: An archive of privacy notices (and other documents) that the data subject has viewed and acknowledged over time, including historical versions.
  • List of Events: The complete history of all privacy events for that individual data subject.
  • Privacy History of the Data Subject: The complete chronology of all privacy events for the data subject, along with proofs of genuineness for each activity.

The Dossier not only facilitates the management and verification of data but is also an essential tool for promptly responding to access, rectification, and erasure requests as required by GDPR, ensuring that the company can demonstrate compliance and efficiently manage users’ rights.
